What Are the Steps to Be Followed in Case of Changes to Company Officials and Facilities?

Changes Regarding Company Officials

In the event of changes concerning the following individuals within the certificate-holding company:

  • Members of the board of directors,

  • Real persons holding ten percent or more of the company’s capital,

  • New employees authorized to represent the company in customs and foreign trade transactions.

If these individuals are appointed, the certificate holder must notify the Regional Directorate that issued the certificate within five business days following the date of appointment, using the Annex-1/A application form.


Changes Regarding Facilities

1. Administrative and Operational Offices In case of a physical change in the structure of the following areas, or if a new facility of this nature is opened or leased:

  • Management offices,

  • Accounting and archive offices where documents related to customs goods are kept,

  • Information technology (IT) offices.

The certificate holder must notify the relevant Regional Directorate within five business days following the start of operations at these facilities, using the Annex-1/A application form.

2. Production and Storage Facilities For the following types of facilities (excluding production facilities where goods are produced solely for domestic sale without using imported inputs):

  • Production plants,

  • Warehouses/facilities where goods are stored or handled before export,

  • The first warehouse/facility where goods are directly placed after import procedures are completed.

If there is a physical change, a new facility is opened, or a facility is leased for longer than six months, the notification must be made using the Annex-1/A application form, the Annex-24 facility notification form, and the facility adequacy assessment form according to these timelines:

  • Within five business days following the actual start of import or export operations,

  • Within five business days following the completion and activation of substantial physical changes (such as total area, boundaries, or entry/exit points) to previously reported facilities.

Note: If less than six months remain until the update period, the Annex-24 forms are not required for these notifications.

3. ISO 9001 and ISO 27001 Certificates

  • These certificates must be submitted either with the facility notification or within six months of the notification.

  • The certificates must be valid originals or certified copies issued by conformity assessment bodies accredited by institutions that are signatories to the European Accreditation Union’s mutual recognition agreements.

  • If less than six months remain until the update period, the certificates must be submitted at the time of the initial notification.
